Privacy Policy
Effective October 14, 2026
This policy explains what information Waltre collects when you use our website and our leasing platform, how we use and share it, and the choices you have. It is written in plain language; where a section needs more detail, it says so.
1.Who we are and what this covers
Waltre is a commercial real estate leasing marketplace. Tenants post the space they need, landlords and brokers list the space they have, and the platform matches the two so deals move faster. Franchisors and expanding brands use the same tools to manage multi-site growth with their brokers and franchisees.
This policy covers the Waltre website at waltre.com (including the blog, demo booking and newsletter sign-up) and the Waltre application at app.waltre.com (“the platform”). Together we call these “the services”. It applies to everyone who visits or uses them: tenants, landlords, brokers, franchise operators and visitors who are just reading.
The services are operated by Waltre, based in South Florida, United States. Where this policy says “we”, “us” or “Waltre”, it means Waltre.
2.Information we collect
What we collect depends on how you use the services. In broad terms:
- Account information. When you create a profile we ask for your name, email address and the role you are signing up in (tenant, landlord, broker or franchise), and may ask for your company, job title and phone number. Sign-in is handled by Descope, our authentication provider, which offers sign-in by email and with a Google account. If you sign in with Google, Google shares your name, email address and profile picture with us.
- Profile and verification details. To show landlords and brokers that a business is in good standing, tenants and franchise operators can verify their business. Verification uses the company details you provide and, where needed, documents and confirmation from our affiliate verification partners.
- Listings and requirements. Landlords and brokers supply property details, photos, availability, terms and off-market vacancies. Tenants describe what they need: size, location, budget, use type, timing and site criteria such as demographics, foot traffic or anchor tenants. Brokers can record executed leases to build a track record. Everything you enter to describe a space or a need is information you have chosen to share with the marketplace.
- Messages and deal activity. Messages you send through the platform, tour requests, letters of intent, lease terms, notes and the other steps of a deal are stored so that everyone on the deal sees the same pipeline. If you use a Waltre-provided phone number, the call and message activity on that number is recorded so it appears in your pipeline.
- Team and invitations. If you invite colleagues, brokers, franchisees or an in-house leasing team, we collect their names and email addresses to send the invitation and set up their access.
- Website forms. Booking a demo and the Get in Touch form go through Pipedrive, which collects the details you give it. Subscribing to the newsletter stores your email address with us. Feedback sent through the site’s feedback widget is collected by Userback on our behalf.
- Usage and device information. Like most online services, we collect information about how the services are used: pages and screens viewed, actions taken, searches run, the device and browser used, approximate location derived from your IP address, and timestamps. The platform collects this through PostHog (product analytics), Microsoft Clarity (session replay and heatmaps) and Sentry (error monitoring). The website uses Google Tag Manager, a Google service that loads analytics and marketing tools, to understand how visitors use the site and to measure our marketing.
3.Where information comes from
Most of the information on Waltre comes from the people using it. We also combine:
- Public commercial real estate records, such as property, ownership and zoning information, which we use to describe spaces and markets.
- Verified landlord and broker listings, submitted by the people responsible for the property.
- User-submitted data: the requirements, criteria, messages and deal activity described above.
- Information from service providers, such as the sign-in provider, our verification partners and the scheduling provider, limited to what they need to pass back to us.
Every listing is checked before it goes live on the marketplace.
4.How we use information
We use the information we collect to:
- Run the marketplace: create and manage your account, show listings and requirements to the right people, and let tenants, landlords and brokers work on deals together.
- Match and rank. Waltre uses automated systems, including AI, to match tenant requirements with available spaces, score inbound leads and surface the most relevant listings. See the next section.
- Verify. Confirm that businesses, listings and executed leases are what they say they are.
- Communicate. Send messages between users, send service notices about your account and deals, respond to support requests, and - if you opted in - send the newsletter. You can unsubscribe from marketing email at any time.
- Improve the services. Understand how the platform is used, fix errors, and develop new features.
- Keep the services safe. Detect and prevent fraud, abuse and security incidents, and enforce our terms.
- Meet legal obligations and resolve disputes.
5.AI and automated matching
Matching is the heart of Waltre, and it is automated. When a tenant posts a requirement, the platform compares it against listings and the signals landlords and brokers have shared, and produces ranked matches and lead scores. Landlords and brokers see those matches; tenants see the spaces that fit. The inputs are the information described above: requirements, listing details, public records and activity on the platform.
These are recommendations, not decisions. Whether to tour a space, submit an LOI or sign a lease is always a decision made by people, and every match can be reviewed, accepted or ignored by the person it is shown to.
We use how matches perform on the platform - which ones are accepted, pursued and closed - to improve the matching system. Your messages, documents and deal details are not shared with other companies to train their AI models.
7.Your choices and controls
- Stealth Mode. Tenants can search and expand without revealing their identity to landlords or competitors until they are ready.
- Access by role. Set what your team members, brokers and franchisees can see.
- Your profile. You can review and update your account and profile information in the platform at any time.
- Email. Every marketing email includes an unsubscribe link. Service messages about your account and deals are sent as long as you have an account.
- Analytics. To be excluded from product analytics and session replay, contact us at the address below and we will switch them off for your account. Your browser’s settings and extensions can also block these tools.
- Deleting your account. Email us and we will close your account and delete your personal information. Records of executed deals that other users’ track records depend on, and information we must keep for legal or accounting reasons, are retained in a form that no longer identifies you where possible.
9.How long we keep information
We keep information for as long as your account is active and as long as it is needed for the purposes described above. When you close your account we delete or de-identify your personal information within a reasonable period, except where we need to keep it: records of executed deals that other users’ track records depend on, information we must keep for legal or accounting reasons, and information needed to resolve disputes or enforce our terms.
Newsletter addresses are kept until you unsubscribe. Usage data is kept in aggregated form that no longer identifies you.
10.Security
We take reasonable technical and organisational measures to protect the information we hold against loss, misuse and unauthorised access. Connections to the services are encrypted in transit, sign-in is handled by a dedicated authentication provider, and access to personal information inside Waltre is limited to the people who need it to do their jobs.
No service can promise perfect security, so please use a strong sign-in method and tell us straight away if you believe your account has been accessed without permission.
11.Children
Waltre is a business service for people leasing commercial space. It is not directed to children, and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
12.Where information is processed
Waltre is based in the United States, and the services are provided from there. If you use the services from elsewhere, your information will be transferred to and processed in the United States and in any other country where our service providers operate, where privacy laws may differ from those where you live.
13.Your privacy rights
Depending on where you live, you may have rights over your personal information, such as the right to know what we hold, to correct it, to delete it, to receive a copy, or to object to or restrict some uses. California residents have these rights under the California Consumer Privacy Act, and residents of other states and countries may have similar ones.
To exercise any of these, contact us using the details below. We will verify the request and respond within the time the applicable law allows, and we will not treat you differently for making one.
14.Changes to this policy
We will update this policy as the services change. When we do, we will change the date at the top and, for material changes, tell you through the services or by email before they take effect.
